Privacy policy

This policy explains information processing in the Hello Expert website, CRM, applicant and partner portals, and connected messaging services. The services are operated by Hello Expert Immigration & Overseas Services, Amritsar, India.

Information used by our services

• Contact details, enquiries, appointments, notes and service preferences that you or an authorised representative provide.
• Application details, supporting documents and payment records supplied for an immigration, education or travel enquiry. The information required depends on the service requested.
• WhatsApp, Facebook and Instagram messages, attachments, sender identifiers, profile information available with the message, delivery/read status, and lead-form responses received through connected company accounts.
• For authorised account administrators: connected business-account identifiers, phone-number identifiers, template information, permissions and credentials needed to operate those integrations.
• Staff account information, sign-in sessions, technical logs and activity records used to operate and protect the service. Connected Google services may supply contacts or files selected or authorised by the account holder.

Why information is processed

Information is used to respond to enquiries, manage conversations and follow-ups, prepare and track requested services, organise documents, administer staff access, process records of payments, and investigate technical or security issues. Messaging integrations allow authorised staff to receive and send messages through company accounts and track their delivery.

When a WhatsApp Business app number is connected through Coexistence, app messages may be synchronised with the CRM. Previous chats or contacts are imported only where the connection flow supports this and the account holder authorises sharing. Optional AI assistance, when enabled, may send relevant enquiry or workflow content to the configured AI service to perform the requested task.

Access and service providers

CRM access is controlled through staff sign-in and assigned permissions. Records may be processed by the hosting, database, storage, messaging and other service providers needed for the features used, including Meta, Supabase, Cloudflare, Google and OpenAI where the relevant integration is enabled. Their services may process information outside India and are subject to their own terms and privacy policies.

Where you request application or partner services, relevant information may also be shared with the authorised parties involved in that service, such as your nominated partner, educational institution or application authority. Contact us to clarify the recipients for your individual case before submitting documents.

Storage, retention and security

The CRM stores service records, conversations and attachments so the team can manage ongoing work and associated records. Retention depends on the service, operational requirements and applicable record-keeping obligations; there is no single automatic deletion period covering every record. Contact us to request deletion or to ask about retention for your case.

The application uses access controls and protected server connections. These measures reduce risk, but no online service can guarantee absolute security. Sign-in cookies support authenticated sessions. Third-party features may also use cookies or identifiers under their own policies.

Your choices and data requests

You can contact us to request access, correction or deletion of your information, or to stop optional marketing messages. You can also reply STOP to a marketing message or tell the office that you wish to opt out. Withdrawing an integration permission stops the access covered by that permission; it does not automatically erase records already stored.
